Bookkeeping Onboarding Process for New Clients

So what happens when you become a client of Your Numbers Person bookkeeping firm? I’m pulling back the curtain to give you an exclusive look at our bookkeeping onboarding process. If you’re considering our services, this insider’s view will walk you through each step of your journey as a new client. Let’s dive into how we transform your financial management experience from day one.

Step 1: Bookkeeping Proposal and Agreement

After our initial assessment, we’ll send you a proposal that fits your unique needs. You’ll receive this through Ignition, our user-friendly proposal and payment software. This proposal will:

  • Outline our services and associated costs
  • Provide a clear agreement for your review
  • Allow you to set up convenient automatic billing

You’ll be billed the same amount once a month for monthly services. For catch-up work, we typically split the cost into two payments: 50% upfront and 50% upon completion. Once you’ve signed, we’ll schedule your personalized Zoom onboarding meeting.

Step 2: Bookkeeping Onboarding Meeting

We’ll set aside an hour for our kick-off meeting, though it may be shorter. To make this time productive, we’ll provide a checklist of items to prepare in advance, such as:

  • Granting QuickBooks access (we’ll guide you through this process)
  • Preparing bank accounts for QuickBooks integration and view access
  • Gathering login details for other financial apps you use
  • Agreeing how we will share digital data

Step 3: Fine-Tuning Your Financial Setup

During our meeting, we’ll also:

  • Review and optimize your QuickBooks settings
  • Explain our efficient month-end close process
  • Establish clear communication channels for any questions or updates

Step 4: Planning Our Next Steps

We’ll schedule our follow-up meeting to ensure we stay on track. If we’re working on catch-up bookkeeping, we’ll discuss timelines and keep you informed of our progress.

Step 5: Enhancing Our Collaboration

To further streamline our partnership, we may:

  • Share a Calendly link for easy appointment scheduling
  • Connect on LinkedIn for professional networking
  • Set up backend systems to manage recurring tasks

Communication and Expectations

We believe in open, honest communication. You can expect:

  • Clear checklists for guidance
  • Regular email updates
  • Options for quick check-in calls when needed

For urgent matters, simply mark your email subject with “URGENT” for prompt attention.

The frequency of our communication will align with your chosen service level, ranging from daily interactions for our premium clients to quarterly check-ins for our core service users.

Our bookkeeping onboarding process is designed to be thorough, efficient, and tailored to your needs. We’ve refined these steps to ensure a smooth transition for every new client, setting the foundation for a successful long-term partnership. If you’re ready to experience this onboarding process for yourself, we’d be thrilled to welcome you aboard. Schedule your free discovery call now to get started.
